Terms of Reference of the Nominating Committee

Be a Standing Committee, composed of the President and one other member of the Executive Committee plus five other members elected from the Ordinary General Assembly from among its members (Statute 6.4).

Have its five members elected at an Ordinary General Assembly from a list of nominations received by the General Secretary according to Statutes 5.6 and 6.4. The Ordinary General Assembly casts votes on the basis of this list. The six persons receiving the most votes will be elected: the one with the highest number of votes will act as Chair, the three with the lowest number of votes will act as alternate members, prioritised according to the number of votes received (Statute 6.5). In the composition of the Nominating Committee the Assembly shall pay regard to the desirability of equitable representation of the Adhering Bodies, on the basis of a recommendation by the Executive Committee to this effect.

Hold office from the end of the Ordinary General Assembly at which it was elected until the end of the next following General Assembly. Members of the Committee may be re¬-elected for a second term, provided that no more than three members are so elected. No member can be elected for a third term (Statute 6.5). Normally not more than one of the Officers shall be appointed from among the members of any one Scientific Community (Statute 8.2).

Receive NOMINATIONS for candidates for Officers and other members of the Executive Committee through the General Secretary. These nominations are invited from the Adhering Bodies not less than 10 months before the Ordinary General Assembly at which the election has to take place and have to be received by the General Secretary no later than six months before the time of the Ordinary General Assembly. Every nomination shall be accompanied by a signed statement from the nominee, stating acceptance of nomination for the proposed assignment (Statute 5.6, 6.5, 6.6).

Convene at least once to discuss the nominations that were received and make up a list of candidates to fill vacancies on the Executive Committee, including a proposal for the assignment to be performed by the nominee (Statute 7.2.t). In drawing up this list of candidates, the final decisions shall be made by a majority vote.

Send, through the General Secretary no later than three months in advance of the General Assembly, their proposals to the delegates. Accompanying each nomination shall be a proposal for the assignment to be performed by the nominee (Statute 7.2.t).

Pay regard in the election of members of the Executive Committee to Statutes 8.2 and 8.3 and to the desirability of equitable representation of the Adhering Bodies within the membership of the Executive Committee as a whole. Normally three members shall be elected to the Executive Committee at each Ordinary General Assembly, to provide for both rotation and continuity of its membership (Statute 6.11)
